# Replace 6 hours a week of admin: the AI build for UK teachers and schools

Six hours a week of writing-it-up work, drained from the evenings and weekends of UK teachers in primary, secondary and FE. Lesson plans against the National Curriculum, written marking feedback, parent emails about progress and behaviour, end-of-term reports. The build below moves most of that time onto a configured Claude or ChatGPT Project. The teaching, the marking judgement and the parent calls stay with the teacher; the writing-it-up part moves to the AI. Pupil personal data stays out of any tier the school has not approved. DfE January 2025 generative AI product safety expectations sit comfortably with the build because pupil-facing AI is not in scope.

## What you need

- A ChatGPT Plus or Claude Pro account at £15 to £20 a month. Many schools now subscribe to Microsoft 365 Education with Copilot, which works for the build with a configuration tweak.
- Your scheme of work, the relevant National Curriculum or exam board specification, and a sample of last term marking feedback.
- A school-approved AI policy that names the tier you are using. The DfE product safety expectations from the January 2025 guidance apply here.
- 90 minutes uninterrupted to build, then 30 to 60 minutes a week to operate.

## Step 1: Build the lesson planning Project (25 minutes)

Lesson planning takes 45 to 90 minutes per lesson from scratch. The Project below cuts that to 15 minutes plus the bits that need teacher judgement.

1. Create a Project named Lesson Planning, KS or year group specific.
2. Upload your scheme of work, the National Curriculum strand or the exam specification, and 5 of your strongest existing lesson plans.
3. System prompt: you are drafting a lesson plan for a UK [year group] class. UK English. Use the format of the uploaded examples. Sections in order: learning objectives, success criteria, starter, main task, plenary at the end, differentiation by ability, assessment for learning.
4. Add the rule: never invent pupil names, never assume class composition, never generate worksheets that include pupil names.
5. Test on next weeks lessons. First draft 70 percent ready in 10 minutes.

## Step 2: Marking feedback Project (20 minutes)

Written marking feedback is where the time saving is largest. The Project below produces feedback to the rubric the teacher already uses.

1. Add a second Project for marking feedback.
2. Upload the assessment criteria for the piece of work, the success criteria the class were working to, and 10 examples of your strongest written feedback.
3. System prompt: draft written feedback for a piece of pupil work. UK English. Match the tone of the uploaded feedback. Two strengths, one specific improvement, one next step.
4. Workflow: paste the work into the prompt, run, review, edit, write into the book or the digital marking tool.
5. Add the rule: never paste pupil personal data unless the AI tool is on the school approved list.

## Step 3: Parent communications (15 minutes)

Parent emails about progress, behaviour and homework take 10 to 20 minutes each. The Project below cuts that to 4 minutes plus a quick teacher review.

1. Add a third Project for parent communications, with 10 of your strongest parent emails as reference.
2. System prompt: draft a parent email about [topic] for a UK [year group] pupil. UK English. The tone is warm and professional. The email is specific to the named topic and contains no jargon.
3. Add the rule: redact the pupil name on input. The teacher fills the name in on the way out. This keeps pupil identity out of the AI tier where the school has not approved that data class.

## Step 4: End-of-term report drafting (15 minutes)

Reports are the single biggest writing job in the teacher year. The Project below drafts them from the marking, the assessment data and the teacher comments.

1. Add a fourth Project for reports.
2. Inputs: assessment data per pupil, attendance, behaviour log, the teacher one-line note per pupil.
3. System prompt: draft a UK [year group] end-of-term report for a single pupil. UK English. Two paragraphs of around 90 words in total. Reference the subject where relevant.
4. The teacher edits the draft in the school MIS. Most teachers report the editing pass takes 3 minutes per pupil instead of the original 10 to 15.

## Step 5: First half-term run

Run the full build for one half-term. Compare hours spent on writing-it-up against the previous term. Most teachers see 4 to 6 hours a week reclaimed by the second half-term, when the calibration has settled.

## What you ship

Lesson plans drafted at 70 percent in 10 minutes. Marking feedback to the school rubric in 90 seconds per piece. Parent emails written in 4 minutes with the redaction rule built in. End-of-term reports drafted in 3 minutes per pupil. The teaching evenings get returned to the teacher.

## What to build next

For a school deployment, this build prices at £1,200 to £2,400 setup plus £100 per teacher per term for ongoing operation and CPD. Pair this with the WIRE Method to package the build for the trust or the local cluster.

## Questions people ask before they start

### Is AI for teachers approved by the DfE?

The DfE published product safety expectations for AI in education in January 2025. The guidance is principles-based; it does not approve specific products. Schools assess each tool against the expectations before deployment. The teacher productivity build sits inside the simpler scope because pupil-facing AI is not involved.

### What about Oak National Academy AI assistants?

The Oak AI tools are useful for lesson planning at primary level and some secondary subjects. They are free and DfE-aligned. The Project build complements rather than replaces them; Oak is best for plan-from-scratch, the build is best for adapt-to-this-class.

### How do we keep pupil data safe?

Three rules. Never paste pupil names, never paste SEND or safeguarding-flagged content, never use a free-tier AI on any pupil work. The school AI policy names the approved tier; staff use that tier and that tier only.

### Does this work for FE and apprenticeship providers?

Yes. The lesson planning Project takes the awarding body specification (City and Guilds, NCFE, OCR) instead of the National Curriculum. The marking Project takes the awarding body assessment criteria. The build pattern is the same.

### Will the union accept this?

NEU and NASUWT guidance from 2024 is broadly supportive of AI as a workload reduction tool, with the caveats that pupil data stays protected, the teacher signs off the output, and AI is not used to make assessment or behavioural decisions about pupils. The build sits inside those caveats.
