# Turn scattered notes into a searchable knowledge base: 5 Notion AI builds that earn their fee

Five Notion AI builds running on one workspace turn scattered docs into a base your team can actually search. Q&A across the whole workspace, Connectors to Slack and Drive, an Agent that runs 20-minute multi-step research jobs. The £15 a month earns its fee for solo professionals who already keep their work in Notion. This tutorial covers the knowledge base, the client database with AI Q&A, the weekly review, the content pipeline and the Agent for research, with the setup time and the credit usage on each.

## Prep before you build (10 minutes)

- Notion Business at £15 a month annual. Plus does not include Agent or Connectors.
- A migration plan: which docs from Drive or Dropbox come into Notion this week.
- 10 real clients to populate the database with.
- 90 minutes uninterrupted for the first three setups; 90 more minutes for the content pipeline and Agent.

## The five Notion AI features that earn the fee

- Q&A: ask any question across your whole workspace and get a cited answer pulled from your pages, databases and connected apps.
- Ask in Database: structured AI query over a single database. Useful for "show me all clients past their renewal date".
- Connectors: link Slack, Google Drive, GitHub, Microsoft 365. Notion AI reads from those sources too.
- Notion Agent: autonomous mode that can run a multi-step task for up to 20 minutes (research a topic, build a page, fill a database).
- Writing helpers: rewrite, summarise, translate, brainstorm. Same as 2024 but better.

## Pricing in April 2026

- Free: AI is no longer included on Free as of early 2026.
- Plus at £8 a month annual: limited AI usage, no Connectors, no Agent.
- Business at £15 a month annual: full AI including Agent and Connectors.
- Enterprise: custom, includes audit logs, SSO, Vault.
- For solo professionals: Business at £15/mo annual is the right starting point.

## Setup 1: Knowledge base (30 minutes)

A single workspace where every client document lives, with AI on top.

1. Create a parent page called Knowledge Base with sub-pages: Clients, Sectors, Tools, Templates, Internal SOPs.
2. Migrate the source documents you currently keep in Drive or Dropbox: client briefs, sector reports, your own SOPs.
3. Connect Google Drive in Settings, AI Connectors. Notion will read your Drive content too.
4. Test: open a new chat with Ask Notion, ask "What was the agreed scope on the Acme engagement?" The answer should cite the source page.
5. Run a search test on five real questions. If Q&A returns wrong answers, the underlying pages need clearer titles and headings.

## Setup 2: Client database with AI Q&A (20 minutes)

1. Create a Clients database. Properties: Name, Status, Sector, Renewal Date, Hours This Month, Last Touch Date.
2. Add 10 of your real clients with the right values.
3. Open Ask in Database. Try: "Which clients are at risk of churn this month?" The AI scores using the property values you defined and returns the answer.
4. Try: "Which clients have I not contacted in 30 days?" Useful for weekly account review.
5. Save the most useful queries as a Saved View on the database.

## Setup 3: Weekly review (15 minutes)

1. Create a Weekly Review template page.
2. Section 1: Wins (autofill from any database row updated this week).
3. Section 2: Stuck items (Ask Notion: "Which tasks have been overdue for more than 7 days?")
4. Section 3: Risks (manually written by you; AI cannot identify these).
5. Section 4: Next week priorities (Ask Notion: "Show me tasks due in the next 7 days for top 3 clients").
6. Run the template every Friday at 16:00. Takes 15 minutes; the AI fills 70 percent.

## Setup 4: Content pipeline (45 minutes)

1. Create a Content Pipeline database. Properties: Title, Status (Idea, Outline, Draft, Edit, Published), Type (Blog, Social, Newsletter), Audience, Publish Date.
2. Add 20 ideas from your Ideas database (start small).
3. For each idea, use the AI helper inside the page to generate the outline. Edit by hand.
4. Use the Status property to track flow. Filter view to Drafts due this week.
5. Connect to Buffer or Publer for scheduling out of Notion.

## Setup 5: Notion Agent for research (30 minutes)

The Agent is the new feature in 2026. Use it for jobs that take 5 to 20 minutes of research time, not 1-minute lookups.

1. Open Notion Agent in the AI sidebar.
2. Try: "Research the top three CRM platforms for legal firms with under 50 staff in the UK. Build a comparison table with price, features, integrations and example users. Save the output to a new page in Knowledge Base, Sectors, Legal."
3. The agent works for 5 to 20 minutes. You can leave it and check back.
4. Review the output. Verify every claim and citation. Edit anything wrong before sharing with a client.
5. Build a list of recurring agent tasks (sector research, competitor scan, tool comparison). Run them weekly or on demand.

## What you ship

A searchable knowledge base, a client database with health scoring, a weekly review template that fills itself, a content pipeline tracking 20 ideas, and a research Agent ready for sector scans. About four hours a week of admin and research time replaced for the long term.

## Questions people ask before they start

### Should I move to Notion if I am on another tool?

Only if your current tool does not have an equivalent AI feature and you are willing to spend a week migrating. For Microsoft 365 users, stay there and use Copilot. For Google Workspace users, stay there and use Gemini. Notion AI wins for teams with mixed tooling who want one workspace.

### How much does the Agent cost in usage?

Each Agent run costs about 30 to 200 AI credits depending on length and tools used. The Business plan includes a generous monthly allowance; most solo users do not hit the cap.

### Will the Agent hallucinate?

It can, so always verify outputs before sharing. The Agent is best at structured tasks (build a comparison, populate a database, write a research summary) and worst at open-ended creative work.

### Can I share AI Q&A with clients?

Yes, by sharing the underlying Notion page. The AI Q&A is a feature of the workspace; if the client has access to your workspace they can run their own queries. Most engagements limit this to read-only views of specific pages.

### How much should I charge to set this up for a client team?

A Notion AI engagement runs £2,500 to £5,500. Audit, migration, training, 30-day check-in. Templates handed over so the team can scale them.
